Photograph the voucher where it happens: at the pump, in the hardware store, in your inbox. Later it gets an account and an amount, at month end you close the month, and your accountant receives a package instead of twelve queries. It does no more than that, and that is deliberate: it replaces the shoebox and the spreadsheet next to it, not your accountant. What is missing today arrives in stages; the voucher line stays the same.
Caught where it happens
One photo at the pump, nothing more. Whoever drops off a voucher does not need to know which account it belongs to — and does not see the company's figures either.
Closed means closed
A closed month is closed — not “closed, except for admins”. Reopening it requires a reason, and that reason stays in the audit trail.
Your accountant gets a package, not a bag
Period, count, total, every line with account and contra account. Exactly the columns they otherwise have to ask about twelve times.
What it is not is stated too
No annual accounts, no VAT return, no tax advice. Your accountant says which account is right — the software calculates, it does not decide.
