What you do here
Add devices (label, device type tablet or phone, asset tag, device UUID) and link them to a vehicle via “Pair with vehicle”. Use “Assign operator” to set who is currently using the device; “Set PIN” stores the login PIN. One device belongs to exactly one vehicle, while the person operating it changes by logging in.
Understanding status, usage & telemetry
“Active” and “Device status” show whether a device may be used; “Last online” tells you when it last checked in. The list and the device board show at a glance which device is attached to which vehicle and who is currently logged in. In the detail view, “Telemetry & connectivity” shows app/OS version, battery level and network status (an outdated app version is the most common support case), and “Session trail” lists past shifts with their login method (PIN, password, SMS code, pairing code, QR or NFC badge).
Tips
Drivers log in on the device themselves via “Take over vehicle” and finish with “End shift”; they renew their own PIN via “Regenerate my PIN”. Only admins and dispatchers can pair devices, assign operators and set PINs, and only admins can delete. Tablets require the vehicle module.
Loss & remote lock
If a device is lost or stolen, report it via “Report lost & lock” — this immediately ends the active login and requests the device to lock; “Request remote wipe” additionally asks for the data to be erased. If the device is recovered, “Clear lock” resets the state. Note: if a lost device holds personal data, a notification to the supervisory authority within 72 hours may be required (Art. 33 GDPR).
Security, data protection & co-determination
Login PINs expire 90 days after they are set and must then be renewed; an expired PIN is clearly rejected on take-over and the vehicle stays locked. PINs are stored only encrypted (hashed) and are never shown in clear text; after five failed attempts the entry is locked per vehicle for 15 minutes. Spying out or using someone else’s credentials without authorisation is a criminal offence (§ 202a/§ 202b German Criminal Code) and breaches the IT-security duty of care (NIS2). Login and session data record who was logged in on which vehicle and when — they are suitable for monitoring conduct and performance; where a works council exists, a works agreement under § 87 (1) no. 6 of the German Works Constitution Act is required (document purpose limitation, evaluation limits and retention periods). The session trail is retained only as long as the evidentiary purpose requires. The app on the tablet does not replace a tachograph — driving and rest times remain with the tachograph (Reg. (EU) 165/2014).
