This is where you manage your fleet: tractor units, trailers and special vehicles with master data, specifications, inspection deadlines, contract and status.

What you do here

You add vehicles, edit them and move them through their lifecycle (Ordered/Inbound → Active → In service → Laid up → Decommissioned → Sold). Required fields are type (tractor unit, trailer or special vehicle), plate and status; depending on the type the matching specification fields appear, e.g. VIN, HP, Euro class or capacity. Use “Assign” to link a tractor unit with a driver and a trailer – each assignment is also kept in the history (who drove it when?). You attach mileage readings, photos and documents directly to the vehicle.

Understanding status, deadlines & cost

The status shows where a vehicle sits in its lifecycle. The figures above the list show at a glance how many vehicles have an expired inspection or one due within the next 30 days – so a deadline is noticed before it lapses. A date marked red means the deadline has passed. Under “Commercial & contract” you record acquisition, lease/rental contract with rate and term, residual value, insurance and vehicle tax.

Tips

Adding, editing and assigning is available to admins and dispatchers, deleting only to admins; drivers only see the vehicle assigned to them. The vehicle detail view also shows reported damages, upcoming service appointments and completed departure checks – these come from the Damages, Service and Checklists modules and stay empty until those are booked.

Legal requirements

As the vehicle keeper you may not order or permit the operation of a vehicle that is not roadworthy (§31(2) StVZO, keeper liability) – inspection deadlines are therefore a duty of proof, not a mere reminder. Enter the deadlines per vehicle under “Inspection deadlines/TÜV”. Obligations at a glance: periodic technical inspection (HU/“TÜV”) under §29 StVZO Annex VIII (commercial vehicles > 3.5 t and trailers usually annually) – without a valid sticker you risk fines, penalty points and a ban from operation; safety inspection (SP) under §29 StVZO Annex VIII for certain commercial vehicles/trailers in addition to the HU (typically every six months from year 3); annual accident-prevention inspection (UVV) under DGUV Rule 70 §57 by a competent person with written evidence; recalibration of the tachograph under Regulation (EU) 165/2014 with Regulation (EC) 561/2006 (typically every two years) at an approved workshop (Smart Tacho 2 for cross-border transport). For dangerous goods: ADR registration certificate under ADR 9.1.3 (renewed annually) and inspection of the carried equipment under ADR 8.1.4 (e.g. fire extinguisher). Plate and VIN become personally identifiable once a driver is assigned; for location/performance analysis the co-determination right under §87(1) no. 6 BetrVG applies. Retention: inspection reports usually until the next inspection, tachograph/driving-time records for at least one year, commercial records (purchase, lease) for 10 years under §257 HGB / §147 AO.
