Logistics

This is where you manage your fleet: tractor units, trailers and special vehicles with master data, specifications and status.

What you do here

You add vehicles, edit them or decommission them. Required fields are type (tractor unit, trailer or special vehicle), plate and status; depending on the type the matching specification fields appear, e.g. VIN, HP, Euro class or capacity. Use “Assign” to link a tractor unit with a driver and a trailer.

Understanding status & types

The status shows whether a vehicle is “Active” (green, ready to use), “In service” (yellow) or “Decommissioned” (grey, no longer in use). The list can be filtered by type via the tabs at the top and searched by plate. The “Fleet status” view shows the fleet as a board grouped by status – dragging a card to another column sets the status instantly. A date marked red under “ADR registration until” means the registration has expired.

Tips

Adding, editing and assigning is available to admins and dispatchers, deleting only to admins; drivers only see the vehicle assigned to them. The vehicle detail view also shows reported damages and upcoming service appointments – these come from the Damages and Service modules and stay empty until those are booked.

Legal requirements

As the vehicle keeper you are responsible for meeting statutory inspection deadlines (keeper liability). Enter the deadlines per vehicle under “Inspection deadlines/TÜV”; the list then warns you ahead of time as soon as a date has passed (marked red). Obligations at a glance: periodic technical inspection (HU/“TÜV”) under §29 StVZO – without a valid inspection sticker you risk fines, penalty points and a ban from operation; the annual accident-prevention inspection (UVV) under DGUV Rule 70 carried out by a competent person (occupational safety); regular recalibration of the tachograph/recording equipment under Regulation (EU) 165/2014 together with Regulation (EC) 561/2006 (typically every two years) at an approved workshop; for certain commercial vehicles and trailers additionally the safety inspection (SP) under §29 StVZO Annex VIII. For dangerous goods the ADR registration applies as well (under “Specifications”). Inspection records (reports, protocols, sticker evidence) must be retained – tachograph/driving-time records for at least one year, inspection reports usually until the next inspection or per your retention policy.
