What you do here
Create drivers and maintain person data (name, phone, language, employee no., emergency contact) and professional documents such as licence, ADR certificate and driver card with expiry dates. Use „Assign vehicle“ to link a driver to a vehicle, and „Set PIN“ to give them a login PIN for the app.
Status & dates
Expiring documents are flagged in the list: yellow from 30 days before expiry, red once expired - so you instantly see whose licence or driver card needs renewing. Record time-limited proofs such as Module 95, forklift licence or medical exam under „Further qualifications“. Use „Deactivate“ to hide drivers who left without deleting them; the „Former“ tab brings them back and „Activate“ restores them.
Who sees what
Creating, editing and setting PINs is reserved for admins; dispatchers can also assign vehicles and set PINs. Drivers themselves only see „My profile“ with name, email and language and can regenerate their own PIN. Vehicles for assignment come from the Vehicles module.
Tips
Use the „Expiring“ tab to spot every driver whose licence is about to run out before the shift starts; expiring driver cards and ADR certificates stay flagged yellow (soon) or red (expired) in every list as well. Filter the list by language for multilingual teams. Add an emergency contact for every driver - in a crisis every second counts. Assign meaningful employee numbers, as they are unique and reappear in reports of other modules.
Legal requirements
Keep every legally required proof up to date for each driver: a driving licence with the matching categories (B, C, C1, CE, D, D1, DE per Directive 2006/126/EC) and its expiry date; for dangerous goods the ADR certificate including its specialism (basic, tank, classes 1-9). Also mandatory are the occupational medical driving-fitness exam „G25“ (DGUV V70) and the annual UVV safety briefing - DGUV requires it at least once a year; record refreshers under „Further qualifications“ as „UVV training“. For commercial goods and passenger transport the initial/periodic CPC training „Module 95“ (BKrFQG) applies as well. Driving and rest times (Regulation (EC) 561/2006) must be evidenced via the driver card and tachograph - keep an eye on a valid, non-expired driver card. Retention: after a driver leaves, personnel and qualification records are subject to commercial and tax retention periods (HGB/AO, typically 6 years). Record the departure under „Retention/GDPR“ and set „Retain until“ - once the period ends, prepare deletion under GDPR Art. 17.
