Dispatch

Here you plan tours: you distribute transport orders across driver, vehicle and day, and define each tour’s stops (pickups and deliveries) in the right order.

What you do here

Use „New tour“ to capture date, title, driver and vehicle. On the board you drag tours between Planned, On the road, Done and Cancelled – the status saves instantly. In the detail view you add a transport order per stop, choose pickup or delivery, set the sequence and planned time, and tick off completed stops. Use „Start tour“ and „Complete“ to advance the status with a single tap.

Tips

Use the calendar view to see utilisation across several days, and the tabs in the list to switch quickly between planned and active tours. Use „Assign driver“ to distribute a tour without opening it. Drivers see their own tour in the calendar and list and can work through the stops.

Driving and rest times (a planning duty)

Plan tours so drivers can comply with the social rules – as dispatcher you are jointly liable (Sec. 8, 9 FPersG together with Regulation (EC) No 561/2006). Guide values: at most 9 hours daily driving (10 h twice a week), a 45-minute break after no more than 4.5 hours of driving, 11 hours daily rest (reduced 9 h, at most three times a week), 45 hours weekly rest. For each tour enter the planned driving time and the scheduled breaks, and order the stops and time windows accordingly. Also check utilisation: enter the vehicle capacity and the planned load so the tour runs neither overloaded nor empty – the utilisation percentage is computed from those.

Records, retention & data protection

CMR proof (proof of delivery/POD): in cross-border road haulage the handover must be evidenced. For each stop record the actual pickup and delivery time and note in the handover note who took receipt of the goods plus any reservations or damage; the actual document (signature/photo) lives in the delivery-confirmation module and is linked to the stop. Driver card/tachograph (Regulation (EU) 165/2014): the driver must hold a valid driver card – check this when assigning; records must be kept for at least one year. Mobility Package: for cabotage and cross-trade, notification (IMI portal) and return obligations apply (vehicle every 8 weeks, driver regularly) – plan for them. Retention: transport records (actual times, handover notes) generally 10 years (Sec. 257 HGB, Sec. 147 AO). Data protection: tours combine person, vehicle, time and place into a movement profile – observe purpose limitation and a deletion concept; for location/performance data the works council's co-determination regularly applies (Sec. 87(1) no. 6 BetrVG).
