Here you track stock per article and storage location: current quantity, bin, stock value and the threshold at which you must reorder.

What you do here

Each row is an article at one storage location. Use „New stock“ to link an article to a location and capture quantity, reorder point, bin and – if you want to report stock value – the purchase cost per unit. The status (ok, Low, Critical, Out) shows at a glance where things run tight. The board groups positions by status, the calendar shows upcoming counts. The „Low“ tab instantly lists every position that has dropped below its reorder point.

Tips

Keep the reorder point realistic: it is the threshold at which you should reorder. After every stock count enter the count date and plan the next count date so overdue counts are flagged in red. If you maintain the purchase cost per unit, the system calculates the stock value automatically. Warehouse staff may view stock but not edit it – that stays with management.

Legal requirements

Stock records that form part of the accounts (stocktakes/inventory evidence) are subject to commercial retention under HGB §257 together with AO §147 – generally ten years. To this end, in the „Retention/audit“ section enter under „Retain until“ the end of the retention period; overdue records are evaluated centrally as ready for deletion. Under the GoBD, stock movements must remain auditable and immutable: correct erroneous stock with a traceable reverse entry (reverse instead of delete) and do not delete captured positions – the „Updated by“ field evidences who last changed the record. For foodstuffs, traceability under the LMIV (Regulation (EU) No 1169/2011) together with Regulation (EC) No 178/2002 also applies: capture the batch/lot („Batch/lot“) and the best-before date („Best before“) per position; the best-before column is flagged in red once the date has passed. Note: an immutable stock-movement ledger (a complete history of all inflows and outflows) follows in a separate extension.
